Some refer to it as red tape, we simply call it project management. On the one hand an event is based on creativity, and on diligence on the other. The realisation of the event is followed by a final processing. Only then can you assess how responsibly the resources have been used. And: What can be improved the next time.
Event controlling: keeps the event in check economically
Has EVENTAGENTUR artimage been booked as main contractor or as dispatcher? The form of the event follow-up varies depending on the corresponding kind of cooperation.
As general contractor we also process the complete event in respect to accounting and take care of the event controlling. As customer you get one offer and one invoice. EVENTAGENTUR artimage takes on all the liabilities. We have worked out a contract for this form of cooperation that will be customised individually to your project. A liability surcharge has been included. As dispatcher we send you specified one-to-one offers and hire the system partners in your name. In that case we simply check the invoices and forward them to our customers. If higher costs develop during the planning, we use our specially designed form for the re-order. The requirements are documented and, if possible, quantified on-site and in direct dialogue with you. All parties involved – customer, system partner and our agency – receive a copy of the document. What kind of cooperation to choose? Sometimes a little bit of everything can be the right thing to do: We always keep an eye on the budget. And we process everything quickly. Have all the time sheets of the service staff been collected? Have the fees for the KSK or GEMA been paid? In our project structures all these items have been geared to one another and are transparent.
And the more transparent the economic event follow-up, the clearer the concept for the next edition. We can compare future offers and optimise processes.
Event documentation: an archive of great ideas
EVENTAGENTUR artimage documents all details of an event digitally. Layout planning, booking of artists, technical layout: With our event documentation no information is lost. After the event we even document shortcomings in our final plans for the set-up. Inconvenient routes or difficult deliveries – next time we will keep that in mind and find a different solution in advance.
Video and photo documentation: more than just nice memories
Documenting your event with pictures or videos obviously provides you with nice memories. Often, the video documentation is part of the live performance. Or it supplements the conception for the social media. We make individual contracts with the creative team, e.g. photographers or video specialists. Material that is not used will be deleted by our partners.
